Usually, an LLC can use a virtual address for some correspondence or mailing purposes, but it cannot simply use any virtual address for every filing. What registered-agent rules normally require
Most US states require an LLC to appoint a registered agent and maintain a registered office in that state. The registered agent is there to accept service of process and official notices; it must be reliably reachable during business hours. That is a legal communications role, not merely a marketing address.
Delaware is a useful illustration because it is a common formation state. Delaware states that every entity must appoint a registered agent with a physical office address in Delaware. The agent must be generally present during normal business hours to accept service of process, and the registered office need not be the LLC’s own place of business. California makes a related distinction: an individual agent for service of process must reside in California and have a physical California street address, while a qualified registered corporate agent can be appointed. California’s business-entity guidance shows why a one-size-fits-all “virtual address” answer is unsafe.
So, a service may be valid if it is a genuine registered-agent arrangement that meets the state’s physical presence and availability requirements. A simple PO Box or anonymous mail drop is usually not the same thing.
When a virtual address may be appropriate
An LLC may use a virtual or mail-handling address for ordinary correspondence where the provider permits it and the relevant state form allows it. This can be useful to an online business, consultant or overseas founder who does not want a home address on customer-facing materials. It may also provide mail scanning or forwarding so the owners can deal with correspondence remotely.
That use is practical only when everyone understands the address’s limited role. Tell a bank, payment provider, tax authority, insurer or marketplace whether it is a mailing address, registered-agent address or the real operating address. These organisations can require additional proof of the business and its owners. Listing a virtual address as a physical office or proof of occupancy when it is only a mail service can lead to rejected applications, compliance questions or account restrictions.
What a virtual address cannot safely do
It cannot create a physical presence for tax, licensing or regulatory purposes merely because the address appears on a website. It cannot replace a registered agent if the provider is not qualified in the formation state. It cannot replace a member’s residential address where identity checks require it. And it should not be used to receive service of process unless the service specifically provides that function under the relevant state’s rules.
Be particularly careful with terms such as “business address,” “principal office,” “street address” and “mailing address” on official forms. They may have different meanings. A form that permits a mailing address to be different from the principal office is inviting you to report both truthfully, not to choose whichever address feels most impressive.

For an American registered agent, start with the state’s official information, verify the physical address and ask what happens to legal notices on the day they arrive. Delaware publishes a registered-agent list but expressly encourages customers to undertake their own due diligence. Use that as a reminder to check renewal costs, forwarding, privacy practices, change procedures and support responsiveness — not just the first-year price.
For a UK virtual-mail provider, ask the equivalent questions: who is authorised to receive mail, how are company names matched, how will urgent letters be notified, what scans or forwarding are available, and what anti-money-laundering checks are required? UK providers that offer certain mailbox or virtual-office services to companies may be subject to the anti-money-laundering regime for trust or company service providers. The best provider is the one that is transparent about what it does not provide as well as what it does. Avoid a service that promises instant bank approval, anonymity from legitimate authorities, a “real office” when no office access exists, or universal acceptance for every government filing.
